Many small and medium-sized businesses are seeing their teams experiment with AI tools. Often, this happens without a clear plan or guidance, driven by a desire to be more efficient. It's less about fear of AI itself, and more about navigating these new tools responsibly.

Without a considered approach, AI use can lead to inconsistencies, security risks, or unintended consequences. This directly impacts operational managers, IT teams, and ultimately, the business owner, who needs to ensure everything operates smoothly and within ethical guidelines.
What it looks like in practice
Consider Fiona, the Operations Manager at 'Green Solutions Ltd,' an Irish environmental consultancy with 40 staff. Fiona spends a significant amount of her week drafting routine project update emails to clients and summarising lengthy technical reports for internal stakeholders.
Before AI: Fiona dedicates 8-10 hours weekly to these tasks. She manually extracts key points from reports and crafts each client email from scratch, ensuring clarity and conciseness, leaving less time for strategic planning or team development.
After AI: Fiona identifies email drafting and report summarisation as a suitable area for AI assistance. She selects a secure, enterprise-grade AI tool, approved by the company's IT consultant, to help. Now, she feeds the technical reports into the AI and gets a draft summary, which she then reviews and refines. For client updates, she creates a template and asks the AI to draft the email based on bullet points she provides, always adding her personal touch and ensuring accuracy before sending. This cuts her time on these tasks by half, freeing up 4-5 hours for higher-value work, like process improvement or mentoring junior staff.

- Identify a 'Pain Point': Ask your team leads which repetitive, time-consuming task takes up the most time—one that involves information processing, rather than direct client interaction. This could be drafting routine communications, summarising meeting notes, or organising data.
- Trial a Safe Tool: Select one task and explore a reputable, GDPR-compliant AI tool designed for that specific purpose. Many software suites you already use (like Microsoft 365 or Google Workspace) offer integrated AI features. Focus on tools that respect privacy and offer clear data handling policies.
- Start a Conversation: Gather your team and discuss how AI is being used, or could be used, for the identified task. Emphasise the goal is to work smarter, not to replace roles. Encourage questions about ethics, data, and accuracy, making it clear that human oversight is always required.
Using AI thoughtfully allows your business to gain efficiencies and find new capacities, rather than just acquiring more digital tools.
